ELECTRONIC PROCUREMENT SYSTEM SHARING SESSION WITH UNIVERSITI KUALA LUMPUR

SERDANG, Friday, 21 November 2025 – The Procurement Management Finance Division (BKPP), Bursar’s Office, Universiti Putra Malaysia (UPM) received an official visit from Universiti Kuala Lumpur (UniKL) together with representatives from Tender Pintar Sdn. Bhd. to attend the Electronic Procurement System Sharing Session (Tender Wizard System) implemented at UPM.

The session began with welcoming remarks by UPM Bursar, YBhg. Puan Siti Amira binti Shukor, who also welcomed the presence of UniKL officers and technology partners from Tender Pintar Sdn. Bhd. The Head of BKPP continued the sharing session, which was also attended by UPM financial officers directly involved in operating UPM’s Tender Wizard procurement system.

During the session, BKPP, Bursar’s Office, UPM also presented the university’s procurement statistics report for the years 2023 to 2025, covering procurement appointments for supplies, services, and works through quotation and tender methods at Hospital Sultan Abdul Aziz Shah (HSAAS), UPM Serdang, and UPM Sarawak.

The UniKL delegation was also briefed on the system implementation timeline at UPM, starting from the kick-off meeting, preparation of user roles, user training, and vendor training, before the system became fully operational at UPM Serdang and UPM Sarawak.

BKPP, Bursar’s Office, UPM also shared an overview of the procurement workflow at UPM, including annual procurement planning, specification preparation, advertisement, technical and financial evaluation, offer, receipt of supplies/services, contract preparation, and payment processes.

Among the advantages of the system discussed were its comprehensive workflow, compliance with procurement principles, fully online operations, time and cost savings, reduced document storage needs, and convenient report generation. Challenges were also discussed, including the need for user training, technical issues on advertisement closing days, review of specification and financial templates, and the need for additional storage.

This sharing session successfully opened opportunities for closer collaboration between UPM and UniKL in strengthening digital procurement practices within higher education institutions. BKPP, Bursar’s Office, UPM expressed appreciation to UniKL and Tender Pintar Sdn. Bhd. for their participation and commitment in making this session a success.
